CeraCare Halves Its Printer Estate and Slashes Costs with Toshiba Managed Print Services

Cera is a tech-enabled care company committed to helping people live longer, healthier lives in their own homes. By combining professional carers with smart technology, Cera can track and monitor the health of its users, giving families and medical professionals real-time visibility of changes in wellbeing. Growing rapidly through mergers and acquisitions, Cera operates from numerous sites across the UK.

The Challenge

Rapid expansion through acquisition meant that Cera inherited a patchwork of different printers, contracts, and suppliers at every new site. Some locations were running ten or more outdated devices, with no central visibility of what was being printed or how much it was costing. Toner management was handled locally, adding unnecessary workload for office staff.

At the same time, Cera’s mission centres on technology and digitisation. The organisation was actively working to reduce its reliance on paper-based processes in a sector that has traditionally been heavily paper-dependent — but without compromising the strict regulatory requirements around patient documentation and confidentiality.

The Solution

Toshiba carried out a full audit and review of Cera’s print estate, then recommended a Managed Print Service designed to rationalise the fleet, minimise paper usage, and support the organisation’s digitisation objectives.

Legacy printers were replaced with Toshiba MFPs that integrate seamlessly with Cera’s cloud-based servers. Centralised toner replenishment removed the burden from individual offices. The solution was designed to scale, so each new acquisition could be brought onto the managed platform quickly and consistently.

The transition was handled site by site, with Toshiba liaising directly with each location to get devices networked and live with minimal disruption.

The Results

Cera has reduced the number of printers across its estate by more than half, delivering an annual saving of £29,000 — less than half of what the organisation was previously spending on print.

Locations that once housed ten separate printers have been streamlined to a single Toshiba MFP, and staff now have the flexibility to print from anywhere. Centralised toner management has eliminated a routine administrative headache, while reporting tools give the IT team full visibility of usage patterns, high-volume sites, and opportunities for further digitisation.

The rollout process itself was notably smooth. Mason Barendrecht, IT Project and Transition Manager, described the experience as hands-off from his perspective — Toshiba managed the liaison with each site independently, providing summary updates as each location went live. He characterised the transition as feeling more like an upgrade than a migration, and noted that it was seamless.

Toshiba’s Carbon Zero scheme also aligned with Cera’s sustainability values, offsetting the carbon footprint of every device to deliver a carbon-neutral print fleet.
