Frequently asked questions

Develop

Does a Develop ineo model correspond to a Konica Minolta bizhub model?
A match needs to be checked for the particular models and configuration. The relationship between the brands is not enough to confirm equivalent specifications or compatible finishers, consumables and software. If you are replacing a bizhub device, tell us its model and which features or connections you need to retain when considering a Develop ineo alternative.
Is All UK Copiers an authorised Develop dealer?
Yes. All UK Copiers, operated by Total Business Computers Ltd, is an authorised Develop dealer. We supply Develop ineo devices. Tell us what your business needs from its print setup and ask us about the model and options you are considering.
Is Develop part of Konica Minolta?
Yes. DEVELOP is a brand of Konica Minolta Business Solutions Europe GmbH. Develop ineo and Konica Minolta bizhub are separate product ranges. Their shared ownership does not, by itself, establish that two particular models have the same specification or compatible accessories. Check the exact models when comparing devices.
What is Develop, and what does ineo mean?
DEVELOP is a brand of Konica Minolta Business Solutions Europe GmbH, and ineo is its office printing and multifunction device range. All UK Copiers supplies Develop ineo and Toshiba e-STUDIO devices. Features and available options vary by model, so compare the specification of the exact device you are considering.

General

Are Toshiba and Develop toner and parts interchangeable?
Do not assume that toner, parts or accessories will work across Toshiba and Develop devices. Check the exact device model, the item's part number and the manufacturer's compatibility information before ordering. For a mixed fleet, keep each machine's model details with its consumables records. Ask us to check the item you need if you are unsure.
Should I choose a Toshiba e-STUDIO or a Develop ineo device?
Choose by the needs of your business and the specification of the individual model. Consider monthly print volume, A3 or A4 paper, colour or mono output, finishing requirements and the systems the device must connect to. All UK Copiers supplies both Toshiba e-STUDIO and Develop ineo devices, so tell us your requirements to discuss suitable options. Compare the complete quoted configuration and running costs when making your decision.
What is a multifunction device (MFD) and how does it differ from a standard photocopier?
A multifunction device, or MFD, combines printing, copying, scanning and faxing into a single unit. Unlike a standalone photocopier that can only produce copies of documents, an MFD connects to your network and allows staff to print from their computers, scan documents to email or shared folders, and send faxes — all from one machine. This reduces the number of devices in your office, saves space and lowers overall running costs.
What does ppm mean when looking at photocopier specifications?
PPM stands for pages per minute and indicates how quickly a device can produce output. A machine rated at 25 ppm will print or copy approximately 25 single-sided A4 pages in one minute under standard conditions. Higher ppm ratings are better suited to busy offices with large print volumes, while lower-speed devices are ideal for smaller teams or home offices.
What is the difference between A3 and A4 photocopiers?
An A4 photocopier handles paper up to A4 size (210 x 297 mm), which is standard letter and document size. An A3 photocopier can also handle A3 paper (297 x 420 mm), which is twice the size of A4. A3 devices are commonly used in offices that need to print spreadsheets, architectural drawings, posters or booklets. A3 machines are typically larger and offer higher speeds and greater paper capacity.
Should I choose a colour or mono photocopier for my business?
If your business primarily produces text-based documents such as letters, invoices and internal reports, a mono photocopier is more cost-effective because mono running costs are significantly lower than colour. If you regularly produce marketing materials, presentations or client-facing documents that benefit from colour, a colour MFD may be the better investment. Many businesses opt for a colour device but configure it to default to mono printing to keep costs under control.
What is automatic duplex printing and why is it important?
Automatic duplex printing allows a photocopier or MFD to print on both sides of a sheet of paper without the user needing to manually turn the paper over. This feature reduces paper consumption by up to 50 per cent, lowers costs and supports environmental sustainability goals. Most modern Toshiba MFDs include automatic duplexing as standard. For a Develop ineo device, check whether automatic duplex printing is included in the quoted configuration and which paper sizes and weights it supports.
How long does a typical office photocopier last?
A well-maintained office photocopier will typically last between five and seven years, depending on usage levels and how well it is serviced. Devices that are regularly maintained, have genuine parts fitted and are not consistently run beyond their recommended monthly duty cycle tend to last longer. Many businesses choose to upgrade or exchange their device after five years to benefit from improved technology and efficiency.
What is a duty cycle and why does it matter when choosing a photocopier?
The duty cycle is the maximum number of pages a photocopier is designed to produce in a single month. For reliable day-to-day performance, you should aim for a device whose recommended monthly volume aligns with your actual usage rather than selecting a machine based solely on its maximum duty cycle. Running a device at its maximum duty cycle continuously will shorten its lifespan.
What is the difference between a photocopier drum and a toner cartridge?
The toner cartridge contains the fine powder that is fused onto paper to create text and images. The drum is a cylindrical component that transfers the toner onto the paper in the correct pattern. Both are consumable items that need replacing periodically, though drums typically last much longer than toner cartridges. On Toshiba MFDs, the drum unit is engineered for extended life and is usually replaced by a service engineer during a scheduled maintenance visit. For either Toshiba or Develop, check the exact device model, consumable part number and manufacturer compatibility information before ordering; do not assume compatibility across models or brands.
Can a photocopier print on different paper sizes and types?
Yes. Most modern MFDs can handle a range of paper sizes from A5 up to A3, as well as envelopes, labels and card stock. Toshiba e-STUDIO devices support paper weights from 60 gsm up to 300 gsm depending on the model, giving you flexibility for everyday printing and heavier marketing materials. For a Develop ineo device, check the sizes, weights and media types supported by the exact model and paper trays you are considering.
What does dpi mean in relation to print and copy quality?
DPI stands for dots per inch and measures the resolution or sharpness of a printed or copied image. A higher dpi produces finer detail and smoother graphics. For standard office documents, 600 x 600 dpi is more than sufficient. For high-quality colour graphics or marketing materials, devices offering 1200 x 1200 dpi will deliver noticeably sharper results.
What is an automatic document feeder (ADF) and do I need one?
An automatic document feeder sits on top of the photocopier and allows you to load a stack of original documents to be scanned, copied or faxed automatically, one sheet at a time. This is far quicker than placing each page individually on the glass platen. Both reversing automatic document feeders (RADF) and dual-scan document feeders can scan both sides of a page automatically. A dual-scan document feeder scans both sides in a single pass.
What is the glass platen on a photocopier used for?
The glass platen is the flat glass surface located under the document cover of a photocopier. It is used for scanning or copying single sheets, pages from books, bound documents or irregularly shaped items that cannot pass through the automatic document feeder. You simply place the document face-down on the glass, close the cover and initiate the scan or copy.
How much electricity does a modern office photocopier use?
Modern MFDs are designed to be energy efficient and typically consume very little power when in standby or sleep mode. A mid-range Toshiba e-STUDIO device uses less than 1 watt in deep sleep mode. Look for devices with Energy Star certification, which indicates they meet strict energy efficiency guidelines. When comparing Toshiba and Develop devices, use published energy figures for the exact models and the same test measure.
What is scan to email and how does it work?
Scan to email allows you to place a document on the photocopier, scan it and send the resulting digital file directly to one or more email addresses. The machine connects to your email server over the network and delivers the scanned document as a PDF or other file attachment. This lets you share paper documents without walking back to your computer.
Can I scan documents directly to a folder on my computer or server?
Yes. Most modern MFDs, including Toshiba e-STUDIO devices, support scan to folder functionality. Your IT administrator or installation engineer can configure the machine to scan documents directly to shared network folders, individual user folders or cloud storage locations, making it easy to digitise and organise paper documents as part of your everyday workflow. For a Develop ineo device, tell us the network-folder or cloud destination you need so we can check support and any required configuration for the exact model.
What is a refurbished photocopier?
A refurbished photocopier is a pre-owned device that has been through a comprehensive reconditioning process in our workshop. This involves stripping the machine down, replacing worn components, fitting new drums and consumables where needed, cleaning and testing every function, and bringing the device as close to new condition as possible. Refurbished machines offer excellent value and can be supplied under a cost-per-page service agreement.
Are refurbished photocopiers reliable?
Yes. Our refurbished devices go through a rigorous workshop programme and are thoroughly tested before leaving our premises. Refurbished devices can be supplied under a cost-per-page service agreement. Included services, such as maintenance, parts, toner and engineer support, and any exclusions are confirmed in the applicable agreement.
What is the difference between refurbished and second-hand photocopiers?
A second-hand photocopier is simply a used machine sold in its current condition with no reconditioning work. A refurbished photocopier has been professionally stripped down, cleaned, repaired and tested. Worn parts are replaced and the machine is brought back to a condition as close to new as possible — the difference in reliability and longevity is significant.
Can I lease a refurbished photocopier?
A finance route may be available for refurbished Toshiba and Develop devices as well as new ones, subject to the finance provider's assessment, approval and final terms. Whether the device is new or refurbished is one of the factors that can affect the monthly rental. Servicing, maintenance and consumables are not necessarily part of the finance agreement, so your quotation should state what is included. See refurbished photocopiers and finance and leasing.
Do refurbished photocopiers come with a warranty or service agreement?
Refurbished devices can be supplied under a cost-per-page service agreement. When they are, they are covered by our 5-year machine exchange guarantee on the same basis as new equipment. Included services, such as maintenance, parts, toner and engineer support, and any exclusions are confirmed in the applicable agreement.
How much can I save by choosing a refurbished photocopier over a new one?
Refurbished devices typically cost significantly less than their brand-new equivalents, with savings often in the region of 30 to 50 per cent on the lease or purchase price. Running costs under a service agreement are comparable to a new device, making refurbished machines an attractive option for cost-conscious businesses.
Can a photocopier connect to Wi-Fi?
Yes. Many modern MFDs, including models in the Toshiba e-STUDIO range, offer wireless connectivity as a standard or optional feature. Wi-Fi connectivity allows the device to be placed anywhere in the office without requiring a physical Ethernet cable, and enables mobile printing from smartphones and tablets connected to the same network. For a Develop ineo device, tell us your wireless requirements so we can check the exact model and any required options.
What print drivers are needed for a Toshiba MFD?
Toshiba provides print drivers for Windows, Mac and Linux operating systems. The correct driver for your model can be downloaded from the Toshiba website or installed by your engineer during setup. Universal print drivers are also available, supporting multiple Toshiba models from a single installation — useful if your business has several different devices.
Can a photocopier integrate with Microsoft 365 or Google Workspace?
Yes. Through Toshiba's e-BRIDGE platform, many e-STUDIO MFDs can connect to Microsoft 365 services including OneDrive and SharePoint, as well as Google Drive. This allows users to scan documents directly to cloud storage or print files from the cloud at the device touchscreen, streamlining document workflows for businesses that use cloud-based productivity tools. For a Develop ineo device, tell us which cloud services you use so we can check support and any required options for the quoted model.
What is LDAP and how does it relate to my photocopier?
LDAP (Lightweight Directory Access Protocol) allows your photocopier to connect to your company's user directory, such as Active Directory. This means the device can look up email addresses automatically when scanning to email, authenticate users against their network credentials and enforce access policies. It saves time, reduces errors and simplifies administration.
Can I print from my smartphone or tablet to an office photocopier?
Yes. Most modern MFDs support mobile printing through a variety of methods. Apple users can print via AirPrint, Android users via Mopria, and many devices also support Wi-Fi Direct. Toshiba’s e-BRIDGE app provides additional functionality, allowing you to print from and scan to your mobile device. For a Develop ineo device, tell us which phones, tablets and operating systems you use so we can check the supported printing method for that model.
What is a RADF?
A Reversing Automatic Document Feeder allows you to scan or copy multiple pages automatically without manually flipping each sheet. It supports automatic scanning of both sides of a document.
What is an SPDF?
A Single Pass Duplex Feeder scans both sides of a document simultaneously in one pass through the feeder, significantly speeding up scanning of double-sided documents.
What is an Inner Finisher?
A built-in finishing unit that handles stapling, hole-punching and document sorting within the machine itself, keeping the overall footprint compact.
What is an External Finisher?
A separate unit attached to the machine that performs document finishing tasks such as stapling and sorting — useful when the machine does not have an internal finishing option.
What is a Booklet Finisher?
A finishing unit that folds and staples documents to create booklets, commonly used in publishing, education and marketing environments.
What is a Paper Tray Pedestal?
A stand that elevates the printer or copier on additional paper trays, improving ergonomic access, increasing paper capacity and reducing floor clutter.

Installation

What if we are mid-way through an existing lease?
If you are partway through an existing lease, we can discuss your options. Any settlement, mid-term upgrade or replacement contract depends on the current agreement and requires funder agreement. Get in touch to discuss your situation.
How easy is it to switch photocopier suppliers?
Switching to All UK Copiers is straightforward. We manage the entire process on your behalf, including liaising with your current supplier regarding the return of old equipment if it is on lease. We handle delivery, installation, network configuration and staff training. Our goal is to make the transition seamless with no disruption to your day-to-day operations.
Will there be any downtime when switching to a new photocopier?
We plan installations carefully to minimise downtime. In most cases, the new device is installed and fully operational within a few hours. Where possible, we arrange for the new machine to be set up before the old one is removed so that your office is never without a working device.
What happens to my old photocopier when I switch?
If your old device is on a lease, we can coordinate its return to the leasing company on your behalf. If it is owned outright, we can arrange for it to be collected and disposed of responsibly, or it may have a trade-in value that can be offset against your new agreement.
Can All UK Copiers take over the service of my existing photocopier?
In some cases, yes. If you are happy with your current device but unhappy with your service provider, we may be able to offer a standalone service agreement for your existing machine. This depends on the make, model and age of the device. Contact our team to discuss your situation.
How long does the installation process take?
A standard installation, including delivery, physical setup, network connection, driver installation and staff training, typically takes between two and four hours. More complex installations involving multiple devices, advanced scanning configurations or integration with document management systems may take longer. We will agree a timescale with you in advance.

Pricing

Is it better to lease or buy a photocopier outright?
Leasing spreads equipment costs over a fixed term and preserves working capital. Toner, repairs and routine maintenance are covered as specified in a separate service agreement. Buying outright suits businesses that prefer to purchase their equipment upfront. Your choice will depend on cash flow, tax position and how frequently you want to review or upgrade the equipment. Our team can explain the available options.
What lease terms are available for photocopiers?
Lease terms are available between 12 and 60 months, subject to the agreement and funder. The monthly figures shown help you compare costs; lease payments are billed quarterly. Your quote sets out the term, payment schedule and documentation fee. We can discuss a term that suits your requirements and budget.
What happens at the end of a photocopier lease?
End-of-term options may include returning the equipment, extending the agreement, upgrading or purchasing; the available options depend on the agreement and funder. A replacement or upgrade normally requires a new agreement. Our machine exchange guarantee is separate: it applies to qualifying equipment under a cost-per-page service agreement that becomes excessively problematic or beyond economical repair within 60 months of purchase.
Are photocopier lease payments tax deductible?
In most cases, photocopier lease payments can be offset as a business expense against taxable profits, which can be more tax-efficient than purchasing outright. However, tax treatment depends on the type of lease and your business circumstances. We recommend speaking with your accountant for advice specific to your situation.
Can I include a service agreement within my photocopier lease?
All UK Copiers can prepare a photocopier and support quotation based on your requirements. The device, finance agreement and ongoing service arrangement are not necessarily the same thing, and service and consumables may be charged separately. Your quotation should state which device and accessories are included and whether servicing, maintenance, toner or other consumables are covered separately; do not assume an item or service is included unless it is expressly listed. See photocopier finance and leasing.
What is included in a typical photocopier service agreement?
Cover depends on the applicable agreement. Under a cost-per-page service agreement, replacement parts and engineer labour are included, with no charge per covered call-out. Normal replacement toner may be included under the applicable service agreement, and automatic replenishment is available with eligible monitored service agreements. Paper supply, additional or spare consumables, and damage caused by misuse, unauthorised modification or third-party servicing are not covered and may be chargeable. Included services, optional subscriptions and exclusions are confirmed in your agreement: see service and maintenance cover.
Do I need to provide a deposit to lease a photocopier?
Initial payments depend on the agreement and funder. Leasing is subject to approval, and the agreed documentation fee is collected with the first rental. Your quote and agreement set out the payment schedule before you commit.
Can I upgrade my photocopier during the lease term?
Yes, it is often possible to upgrade your device during the lease term if your business needs change. If your print volumes increase significantly or you need additional functionality, we can discuss options to settle or restructure your existing agreement and move you onto a newer, more capable machine.
What is a cost per page agreement?
A cost per page (or cost per copy) agreement means you pay a fixed price for every page your device prints or copies. Toner, servicing and parts cover depends on the applicable agreement. You are charged based on your actual usage, which is tracked through meter readings or remote monitoring. It is a transparent and predictable way to manage your print costs.
What is the difference between a finance lease and an operating lease?
A finance lease is typically used when you intend to keep the asset for most of its useful life, and the equipment may appear on your balance sheet. An operating lease is more like a rental, where you use the equipment for an agreed period and return it at the end. The best option depends on your accounting preferences and business needs. Where a finance route is requested and available, the finance provider decides which agreement and terms to offer; All UK Copiers does not make the provider's approval decision. See photocopier finance and leasing.
Can a small business or sole trader lease a photocopier?
Yes. Photocopier leasing is available to businesses of all sizes, including sole traders, partnerships and limited companies. We work with finance providers who specialise in supporting smaller businesses, so even if you are a start-up or sole trader, there are options available to you.
How much does it cost to lease a photocopier in the UK?
Lease costs vary depending on the model, speed, features and lease term. A compact A4 mono device can lease from as little as around £10 per month, while a high-speed A3 colour MFD with finishing options may cost upwards of £100 per month. We provide fully transparent quotes with no hidden costs so you know exactly what you are paying.
Can I cancel a photocopier lease early?
Photocopier leases are fixed-term agreements and early termination typically requires the remaining payments to be settled. However, if your circumstances change, we are always happy to discuss your options. In some cases, it may be possible to restructure the agreement or upgrade to a new device, which can offer a more practical solution than outright cancellation.
What is print management and how can it help my business?
Print management is the process of monitoring, controlling and optimising everything related to printing within your organisation. It covers device placement, user behaviour, consumable usage and overall spend. An effective print management strategy can reduce printing costs by 20 to 30 per cent or more by eliminating waste, encouraging duplex printing and ensuring devices are right-sized for their workload.
How can I reduce my business printing costs?
Setting all devices to default to mono and duplex printing is a good starting point. Consolidating multiple desktop printers into fewer, more efficient MFDs reduces consumable and maintenance costs. Implementing user authentication and print rules can discourage unnecessary printing. A managed print service combines these measures.
What is a managed print service (MPS)?
A managed print service is an outsourced arrangement where a specialist provider takes responsibility for managing your entire print fleet. This typically includes supplying and maintaining devices, providing toner and consumables, monitoring usage, optimising device placement and delivering regular reporting. The goal is to reduce costs, improve efficiency and free up your internal IT resource.
How does remote monitoring work on a photocopier?
Remote monitoring software installed on your MFD communicates with our systems over your network. It automatically reports meter readings, toner levels, error codes and device status. With eligible monitored service agreements, a replacement is dispatched automatically when toner levels run low. If a fault is detected, our service team is alerted and can often diagnose the issue remotely before scheduling an engineer visit if needed.
Can print management help my business become more environmentally sustainable?
Yes. Print management directly supports sustainability by reducing paper and toner consumption through default duplex printing, mono-first rules and print quotas. Consolidating devices reduces energy consumption and waste. Detailed reporting helps businesses with sustainability commitments or ESG reporting obligations track and report on their environmental impact.
What are print rules and how do they work?
Print rules are policies applied automatically when a user sends a print job. For example, a rule might force all documents over five pages to print in duplex, redirect large jobs to a more cost-effective device, or convert colour jobs to mono unless the user specifically overrides. Print rules are configured centrally and require no action from end users.
Can I track printing costs by department or user?
Yes. With user authentication enabled, every print, copy and scan job can be attributed to a specific user or department. This data feeds into reporting tools that break down costs by team, project or cost centre — supporting internal recharging or budgeting processes.
What is follow-me printing?
Follow-me printing allows users to send a print job from their computer and collect it from any enabled device in the building by authenticating with a PIN or ID card. The job is held securely in a central queue until released. This improves document security, reduces waste from uncollected print jobs and gives users flexibility to collect output from whichever device is most convenient.
How can I reduce paper waste in my office?
Setting all printers and MFDs to default to duplex printing is the single most effective step. Implementing print rules that encourage mono printing and restrict unnecessary colour output also helps. User education combined with visible reporting on print volumes can change behaviour over time. Pull-printing eliminates waste from jobs that are sent but never collected.
Can print management work across multiple office locations?
Yes. A managed print service can be implemented across multiple sites, providing centralised visibility and control over your entire print fleet. Remote monitoring and cloud-based management tools allow all devices to be managed from a single dashboard regardless of location — particularly beneficial for businesses with regional offices or distributed teams.
What reports can I get from a managed print service?
Managed print reporting typically covers total print volumes (mono and colour), cost per page, usage by device, usage by user or department, toner consumption, service call history and environmental metrics such as paper saved through duplex printing. These reports help you make informed decisions about device allocation, budgeting and policy changes.
What is the average cost per page for printing in a UK office?
Costs vary depending on the device, volume and whether you are printing in mono or colour. As a general guide, mono printing on a well-managed MFD typically costs between 0.3p and 0.8p per page, while colour printing ranges from around 3p to 7p per page. A consultative review of your current setup will give you an accurate picture of your current cost per page.

Security & Compliance

How does a photocopier store data and is it secure?
Modern MFDs have internal hard drives or solid-state storage that temporarily holds data while processing print, copy and scan jobs. Toshiba e-STUDIO devices address this with automatic data overwrite technology that erases data from storage after every job, as well as full disk encryption to protect data at rest. For a Develop ineo device, identify the storage-security controls your organisation requires so we can check the exact model and configuration against them.
How can a photocopier help with GDPR compliance?
Photocopiers handle documents that often contain personal data, so they need to be part of your GDPR strategy. Features such as user authentication, secure print release, automatic data overwrite and encryption all help prevent unauthorised access to personal information. Audit logging tracks who printed or copied what and when, providing an accountability trail.
What is automatic data overwrite on a Toshiba MFD?
Automatic data overwrite is a security feature that erases all temporary data from the device's internal storage after every print, copy, scan or fax job. The data is overwritten with random patterns so that it cannot be recovered, ensuring sensitive documents processed by the machine do not remain accessible on the hard drive.
Can I control who accesses the photocopier using ID cards?
Yes. Toshiba e-STUDIO devices can be configured to require ID card authentication before use. Staff tap their card on a reader attached to the device, which identifies them and grants access to the functions they are authorised to use. This prevents unauthorised use, supports cost tracking and ensures confidential print jobs are only released to the correct person. For a Develop ineo device, tell us your card type and print-management system so we can check the model, reader and any required options. Do not assume compatibility across models or brands.
What happens to data on a photocopier hard drive when the machine is decommissioned?
When a Toshiba e-STUDIO device reaches end of life, the internal hard drive should be securely erased or physically destroyed to prevent any residual data from being recovered. All UK Copiers ensures that data sanitisation is carried out in accordance with best practice when devices are returned or decommissioned. We can provide certification of data destruction on request. For a Develop device, ask us to confirm the data-erasure method and any certification available for your model before arranging its return.

How are meter readings submitted?
Networked machines connected to our remote monitoring system submit readings automatically, removing the need for someone in your office to submit readings each month and ensuring accuracy. Alternatively, you can submit readings manually by telephone or email.
How does the 5-year machine exchange work?
Equipment supplied under one of our cost-per-page service agreements, whether leased or purchased and whether new or reconditioned, is covered by our 5-year machine exchange guarantee. If it becomes excessively problematic or beyond economical repair, we will replace it on a like-for-like basis at any point from the date of purchase up to 60 months. Insurance-related damage (including water, fire or theft), deliberate misuse or damage, and usage exceeding manufacturer-recommended monthly volumes are not covered.
What happens when I place an order?
We open a credit account, prepare paperwork for electronic sign-off if you are leasing, discuss your installation requirements, and coordinate the return of any existing leased equipment if needed.
Do you install and set up printing and scanning?
Yes. Our engineers configure machines onto your network and set up printing and scanning to your specific requirements, including network support where needed.
What areas of the UK do All UK Copiers cover?
All UK Copiers, as part of Total Business Group, provides nationwide coverage across England, Scotland and Wales. Whether you are based in the North East, London, the Midlands or anywhere in between, we can supply, install and service equipment at your location.
How quickly can an engineer attend if my photocopier breaks down?
Our service-system data records an average response time of 4 hours across service requests. Response times are targets rather than guarantees and may be affected by availability, access, traffic, site conditions, parts availability, and the terms of the applicable service agreement. In many cases, our remote monitoring detects issues before they cause a full breakdown, allowing us to schedule preventative maintenance and avoid unplanned downtime. See nationwide service and support.
What should I do if my photocopier has a paper jam?
Paper jams are one of the most common issues and can usually be resolved without an engineer visit. Open the covers and trays indicated on the device display, carefully remove any jammed paper and close everything up. The machine should reset automatically. If jams are occurring frequently, contact our service team as this may indicate a worn component that needs replacing. For supported Toshiba models, see our guide to repeated paper jams and drawer size warnings.
How often should a photocopier be serviced?
The frequency of servicing depends on your print volume and the model of device. Under a service agreement with All UK Copiers, maintenance is carried out proactively based on usage data from remote monitoring. This means your device is serviced when it actually needs attention rather than on a rigid calendar schedule.
What is remote diagnostics and how does it help with service?
Remote diagnostics allows our service team to access information about your device's status, error codes and component life without visiting your site. When you report a fault, our engineers can often identify the issue remotely and arrive with the correct parts, reducing the need for multiple visits. In some cases, faults can be resolved entirely without an engineer visit.
Are genuine Toshiba parts used during servicing?
Yes. All UK Copiers uses genuine Toshiba parts and consumables for all service work on Toshiba e-STUDIO devices. Genuine parts are engineered specifically for your device and ensure optimal performance, print quality and reliability. Using non-genuine parts can compromise output quality and may void manufacturer warranties.
What happens if my photocopier cannot be repaired?
If a device develops a fault that cannot be economically repaired, we will discuss the options with you. Depending on the age of the device and your agreement terms, this may include providing a temporary replacement while a permanent solution is arranged, or bringing forward an upgrade to a new machine.
Can All UK Copiers service photocopiers from other manufacturers?
We supply Toshiba e-STUDIO and Develop ineo devices and have experience working with a range of manufacturers. If you have a mixed fleet, tell our service team which makes and models you run so we can confirm how we can help.
Do you provide on-site training when a new photocopier is installed?
Yes. When we install a new or refurbished device, our engineer will set up the machine, connect it to your network, configure print and scan settings and provide hands-on training for your staff. We ensure everyone is comfortable using the key features before we leave. Follow-up training can be arranged if new staff join or if you want to explore additional features.

Sustainability

How can I make my office printing more environmentally friendly?
Start by defaulting all devices to duplex printing and mono output. Use print management rules to reduce unnecessary printing and encourage digital workflows where possible. Choose devices with Energy Star certification and low TEC ratings. Recycle used toner cartridges through your supplier's recycling programme and opt for sustainably sourced paper.
Does Toshiba offer a toner cartridge recycling programme?
Yes. Toshiba operates a recycling programme for used toner cartridges. Empty cartridges can be returned for responsible recycling rather than being sent to landfill. We also participate in the Circular Planet initiative for compliant, zero-landfill toner recycling across all makes and models. Ask your account manager for details.
What is TEC value and why does it matter when choosing a photocopier?
TEC stands for Typical Electricity Consumption and is a standardised measurement of the energy a device uses over a typical working week, expressed in kilowatt hours (kWh). A lower TEC value means the device uses less energy. Comparing TEC values is a reliable way to assess the energy efficiency of different models when making a purchasing decision.

Toshiba

What does Toshiba e-STUDIO mean?
e-STUDIO is the product range name used by Toshiba Tec for their multifunction devices. The e-STUDIO range covers everything from compact A4 desktop printers through to high-speed A3 production devices. Each model number within the range indicates the speed and capabilities of the device.
Are Toshiba photocopiers reliable?

What security features do Toshiba e-STUDIO devices offer?
Toshiba e-STUDIO MFDs include Secure Print (which holds jobs until a PIN is entered at the device), user authentication, data encryption on the internal hard drive, automatic data overwrite after every job, IP and MAC address filtering, and support for secure network protocols. These features help protect sensitive business information and support GDPR compliance.
Can Toshiba photocopiers be integrated with our existing IT network?

They are compatible with Windows, Mac and Linux environments and can be managed centrally using Toshiba's device management tools. These allow you to produce professionally finished documents in-house without manual post-processing. Your account manager can advise which finishing options are compatible with your specific model.
Do Toshiba photocopiers come with a touchscreen?
Yes. Most current Toshiba e-STUDIO models feature a colour touchscreen panel with a smartphone-like interface. You can use it to navigate settings, select scan destinations, preview documents and access cloud services. The home screen can be customised with shortcuts to frequently used functions.

Modern Toshiba e-STUDIO MFDs typically reach ready status in under 20 seconds from sleep mode. Even from a cold start, most models are ready to print within 30 seconds.

Yes. Toshiba e-STUDIO devices offer comprehensive user authentication and access control. Administrators can set up individual user accounts or integrate with Active Directory, then assign permissions to control who can print, copy, scan or fax. You can also set print quotas, restrict colour printing to certain users and track usage by department or cost centre.
What file formats can I scan to using a Toshiba MFD?
Available scan formats depend on the model and configuration and can include PDF, TIFF, JPEG and XPS. Searchable PDF is available where OCR is supported and enabled. Searchable PDF is particularly useful for businesses that need to archive documents and retrieve them later using keyword searches.
Do Toshiba MFDs support secure print release?
Yes. The Secure Print feature holds a print job in a queue until the user physically walks to the machine and enters a PIN code or swipes an ID card. This prevents confidential documents from sitting uncollected in the output tray — an important feature for businesses handling sensitive or personal data.
What is OCR and do Toshiba photocopiers support it?
OCR stands for optical character recognition. It converts scanned images of text into editable and searchable digital text. Where OCR is supported and enabled on a Toshiba e-STUDIO MFD, it allows you to scan a paper document and create a searchable PDF file — making it significantly easier to find and retrieve archived documents.
