Department codes, user login and quota messages

Your copier is set up to manage who uses it and how much. A department code or user login identifies you; a quota or count limit caps what each department or user can copy, print or scan. Enter your own code or login if you have one. Limits and quotas are set by your copier's administrator, so if a limit message appears, ask them.

“Enter Department Code”

The copier is managed by department. Enter your department code. If you don't know it, ask your administrator.

“Enter the user name and Password”

The copier is managed by user. Enter your user name and password. If you don't know them, ask your administrator.

Count limit reached while scanning

  • “Cannot copy Check department counter”: the number of originals you're scanning has gone over the limit set for your department code.
  • “Change from this mode Count over, cannot store anymore.”: the number of originals you're scanning has gone over the limit set for your department or user code.
  • In both cases the limit is set by your administrator, so ask them about it.

A quota has run out

  • “DEPARTMENT Quota exceeded. Contact the administrator.”: your department's copying, printing or scanning quota has reached zero.
  • “User quota exceeded. Contact the administrator.”: your user quota has reached zero.
  • “User and Department Quota exceeded. Contact the administrator.”: a copying, printing or scanning quota has reached zero.
  • Quotas are set by your administrator. Ask them if you need the quota reviewed.

What you can and can't do

If the copier asks for a department code or login, enter your own. If a limit or quota message appears, ask your administrator rather than trying to work around it: limits, quotas and department or user management are administrator settings.

If you've entered the correct code or login and the copier still refuses, or you don't know who your administrator is, contact your service provider with your model name and the exact message shown.
