Information we collect
Information you give us
When you contact us or request a quote, we may collect:
- your name, work email address and telephone number;
- your company or organisation;
- the equipment or service you are interested in;
- your answers to the questions on the relevant form;
- the product page, displayed price and bundle information connected with a product enquiry; and
- information you include in a message or, when live chat is available, a live-chat conversation.
Our public website forms do not accept file uploads. Please do not include sensitive personal information in a free-text message unless it is necessary for your enquiry.
Information collected when you use the website
Our hosting, security and anti-spam services may process technical information such as your IP address, browser, device, requested page and request time. If you accept optional Analytics storage, we also collect information about page views, interactions and form progress to help us improve the website. Our measurement design excludes names, email addresses, telephone numbers, form answers and message content from analytics events.
See our Cookie Policy for the optional technologies used for analytics and live chat.
Why we use personal information
Depending on the circumstances, we rely on one or more of the following UK GDPR lawful bases:
- Steps towards a contract or performance of a contract: to respond to a requested quote, discuss requirements, supply equipment or services, and manage an order or agreement.
- Legitimate interests: to respond to business enquiries, maintain proportionate business records, protect the website, improve our services, and conduct relevant B2B follow-up. We consider necessity, reasonable expectations and privacy impact before relying on this basis.
- Consent: for optional Analytics and Functional storage or access technologies. You can change or withdraw this choice through Cookie preferences.
- Legal obligation: where we must keep or disclose information to meet tax, accounting, regulatory or other legal requirements.
You can object at any time to the use of your personal information for direct marketing. We will stop using it for that purpose and retain only the minimum suppression information needed to respect your choice.
Forms and enquiry routing
We check website enquiries for spam and forward the details by email to the appropriate team so that we can respond. This includes enquiries sent through our product configurator and hire or rental form.
Enquiry emails, the information needed to handle your request and technical records used to operate and protect the forms are handled under the retention rules below.
Service providers and other recipients
We use service providers to operate, secure and understand the website and to handle enquiries. Depending on the choices you make and the service you use, these include:
- Email and business service providers — email delivery, communications and handling enquiries;
- 10Web — WordPress website hosting and related platform services;
- Cloudflare — DNS, website security, caching and Turnstile anti-spam checks;
- Google — Google Tag Manager and Google Analytics, only in accordance with your Analytics choice;
- Microsoft Clarity — website interaction analytics, only in accordance with your Analytics choice;
- Tawk.to — live chat, only in accordance with your Functional choice; and
- website and SEO software providers used to operate and maintain the site.
We may also disclose information to professional advisers, finance providers, manufacturers, service partners or public authorities where this is necessary for your request, a contract, our legitimate interests or a legal obligation. We do not sell personal information.
We are maintaining a processor and international-transfer register as part of our data-governance programme. Where a provider processes information outside the UK, we assess the applicable transfer mechanism and safeguards.
How long we keep information
We keep personal information only while it is needed for the purpose for which it was collected, or where a documented legal or business reason requires longer retention. We review retained information and record decisions about what is still needed. Reviews and actions remain subject to human oversight.
- Form processing and security records: retained only as needed to process submissions, prevent abuse and investigate technical failures, then reviewed and cleared when no longer needed.
- Unconverted enquiries and live-chat records: reviewed after 12 months without meaningful activity. We delete or anonymise information that is no longer needed, or record the reason and a new review date where it must be retained.
- Customer and contract records: kept for the relationship and afterwards where required for service, warranty, dispute, accounting or legal purposes.
- VAT invoices and relevant financial records: normally kept for at least six years from the applicable record or transaction date, and longer only where another requirement or documented need applies.
- Direct-marketing suppression records: the minimum information is kept so that we can continue to respect an objection or opt-out.
- Website analytics and browser storage: kept for the periods described in our Cookie Policy and the relevant service settings.
A legal hold, active dispute, fraud investigation or other legal requirement may temporarily prevent deletion. We record the reason where this applies.
Your rights
Depending on the processing and lawful basis, you may have rights to:
- ask for access to your personal information;
- ask us to correct inaccurate or incomplete information;
- ask us to erase information that we no longer need;
- ask us to restrict particular processing;
- object to processing based on legitimate interests;
- object to direct marketing at any time;
- receive certain information in a portable format; and
- withdraw consent, where consent is the lawful basis.
To exercise a right, email info@allukcopiers.co.uk or use the postal address above. We may ask for proportionate information to confirm your identity. We normally respond within one month and do not charge a fee, although the law permits exceptions in limited circumstances.
Automated processing
The website may calculate or display product and finance information from governed business data. These calculations help prepare an enquiry; they do not make a legal or similarly significant decision about you. A person reviews the requirements and any commercial proposal before a commitment is made.
We do not currently use artificial intelligence to make solely automated decisions about your creditworthiness, eligibility or enquiry. Any future personal-data detection or redaction service will be assessed, tested and documented before it is introduced.
Cookies and similar technologies
Necessary storage supports security and remembers your cookie choice. Optional Analytics helps us understand website use. Optional Functional storage is used only for live chat. Analytics and Functional technologies remain off until you choose to accept the relevant category.
You can change your decision at any time through Cookie preferences. Withdrawing consent stops future optional loading; cookies already stored may remain until they expire or you clear them from your browser. See our Cookie Policy for details.
International transfers
Some service providers may process information outside the United Kingdom. Where UK data-protection law treats this as a restricted transfer, we use an applicable adequacy regulation or appropriate contractual and organisational safeguards and assess the transfer as required.
Security
We use proportionate technical and organisational measures to protect personal information. These include encrypted connections, access controls, platform security controls, logging and review. No system is completely secure. If a personal-data breach occurs, we assess its risk and notify the ICO and affected people where UK data-protection law requires us to do so.
Children
This website is intended for organisations and business users, not children. If we become aware that a child has submitted personal information, we will investigate and remove it where it is not necessary or lawful to retain it.
Changes to this policy
We review this policy when our services or data-handling practices change and as part of our governance reviews. The date at the top shows the latest revision. Where a change materially affects how we use personal information, we will provide an appropriate notice.
